Draft for lawyer review. Not final.
Privacy Policy
Draft of October 15, 2026
On this page
This policy explains what TheirCorner collects, why, who helps us run it, and the choices you have. TheirCorner is run by [company name] (“we”). It is a private notebook for managers. Only you can see your data in the app (section 8).
1. Who this policy covers
- You, the manager who signs in.
- The people you write about, such as your team members. They do not use TheirCorner and did not sign up. We hold their information only for you, to help you manage and support them.
TheirCorner is in private testing. Only invited email addresses can sign up.
2. What we collect
- Your account: your email address, and the name and time zone you set in Settings.
- Your agreements: that you accepted these terms and confirmed that your employer’s policies allow you to use the app, with the date and the version.
- People you add: name, role, start date, priorities, and whether they are active.
- Your notes: what you dictate or type, sorted into wins, concerns and other work notes. For each one we keep the sorted text, your own words, the date, the category and the person.
- A cleaned transcript of each note. It holds only the work notes and the notes about you. Personal and health details are left out.
- Personal notes: birthdays, work anniversaries, family, interests, life events and follow-ups. They are stored apart from work notes.
- Notes about you: your own wins, feedback, growth areas and goals.
- Ratings you set and your reasons, 1:1 meeting notes, review cycles, the drafts you create and your edits to them, and reminders.
- Recordings and typed notes, only until they are processed (section 5).
- Usage records for AI calls: the model, counts, cost, timing and whether it worked. Never the text.
- A short activity log of account events, such as sign-in, export and digest sent, with counts only.
If you join the beta waitlist on our website, we keep only your email address, the page you joined from, the version of the wording you saw and the time. We use this email only to invite you to the beta. The app does not email it; we send the invite ourselves. Only our team can read the list. Delete it any time: write to hello@theircorner.com.
The app’s own code does not record your IP address or device. Our hosting providers keep standard request logs, which can include your IP address. We are confirming how long they keep them.
3. Health and medical information
We work to keep health details out: they are filtered out before anything is saved, and the raw recording or typed text is deleted within 24 hours (up to 7 days for a note sent from the iPhone Shortcut, section 5). Please do not dictate or type health or medical information about anyone. If you do:
- Each dictated or typed note is sorted by AI, and every item it keeps gets two more health checks before anything is saved. Any part about health is dropped. If a check fails or is unclear, nothing from that note is saved.
- When you type text by hand, for example on the Personal life tab or when you edit a note, the app refuses text with a health word and tells you which word.
- We keep only a count of the items that were dropped, never their text.
The checks run on the note itself. So the text of a dictated or typed note reaches our transcription and AI providers (section 7) before any health detail is dropped. The checks are automated and can miss things. Health matters, such as an accommodation or medical leave, belong with HR, not in the app.
4. How we use AI
- Sorting a note: a dictated note is transcribed by Deepgram. Then Claude, from Anthropic, sorts the note into items for each person: wins, concerns, personal notes and notes about you. Personal details in that note are seen by the AI at this step, to sort them and check them for health details.
- Drafts: when you ask for a 1:1 agenda, a corrective plan or a review draft, Claude writes it from your approved work notes, the person’s name and role, the characteristics you track, and your last 1:1 notes. A review draft also uses your ratings and reasons.
- Personal notes are never used in AI drafts. Drafts are built by one loader that reads only a fixed list of fields, and that list leaves out personal notes, reminders and note transcripts. Notes you type by hand on the Personal tab never go to any AI.
- AI never sets or changes a rating. You set every rating. Review drafts get your ratings as fixed facts and are checked so they do not suggest a different score. 1:1 prep and corrective plans get no ratings.
- No emotion detection. Only the words of a transcript are analyzed, never your voice, tone or mood.
- Drafts are drafts. Read and edit them before you use them.
5. Recordings and typed notes are deleted after processing
- On your phone, a recording stays in the browser’s storage until it uploads. Then it is deleted. It is also deleted when you cancel or discard it. A recording older than 24 hours is removed the next time you open the app.
- On our servers, the recording is deleted and the typed text is cleared as soon as the note is processed.
- If processing fails, we keep the recording or text so you can tap Try again. An automatic cleanup runs every hour. It deletes any recording or typed text within 24 hours, and we are alerted if that job stops.
- Notes sent from the iPhone Shortcut are the one exception. The Shortcut sends only text, with your Shortcut key, never audio. Apple’s dictation on your iPhone may send your voice to Apple, depending on your iPhone’s settings. Their text waits on our servers until you next open TheirCorner, which processes it as above. Until then nothing is sorted, checked or shown. If you do not open the app within 7 days, the text is deleted. From day 5 the app warns you first.
- Items you have not reviewed are deleted 30 days after the note, with a warning a few days before. Approved notes and the cleaned transcript from section 2 stay until you delete them or your account.
6. Email
- We email only you, at the address you sign in with: sign-in codes, a welcome and trial notices, and, if you leave it on, a weekly digest.
- The digest lists the names of people with no recent notes, upcoming birthdays and work anniversaries (month and day, never a birth year), follow-ups that are due, and how many notes you confirmed. It never includes the text of a note.
- You can turn the digest off in Settings, or with the link in any digest.
- If you joined the beta waitlist, we email you from our own mailbox to invite you to the beta. The app never emails a waitlist address.
- TheirCorner never emails your team, HR, your boss or anyone else. When a note looks serious, the app shows “Contact HR now”. It does not contact anyone for you.
7. Service providers
These companies help us run TheirCorner. Each gets only what it needs.
- Supabase hosts our database, file storage, sign-in and server functions. It holds everything in section 2.
- Anthropic (Claude) gets the text of each dictated or typed note, your team members’ names and the names of the characteristics you track, to sort the note and check it for health details. For drafts, it gets the items listed in section 4. It never gets the notes you type on the Personal tab.
- Deepgram gets the audio of each dictated note and the names of your active team members, so names are spelled correctly. Every request asks Deepgram to leave it out of their model improvement program.
- Resend delivers our emails. It gets your email address and the email: the sign-in link and code, and the weekly digest.
- Netlify hosts the web app. Your requests pass through it.
We use no other outside service for your data. We are confirming each provider’s retention periods and data terms in writing, including that none of them trains its models on your data. We will list the answers here.
8. Who can see your data
- Only you can see your data in the app. Our systems process it to run the service; staff access is limited to support. [support access policy to be confirmed with counsel]
- Our service providers process it to run TheirCorner (section 7).
- We do not sell your data. We do not share it for advertising. We do not use ads or analytics.
- The founder can technically reach the database through our hosting provider’s admin tools. We only look at your data when you ask us for support or the law requires it. [founder access wording to be confirmed with counsel]
- [How we respond to subpoenas and other legal requests: to be added by counsel.]
9. Export and deletion
- Download my data, in Settings, gives you one file with everything you saved.
- Delete my account, in Settings, deletes your account and everything in it: people, notes, personal notes, ratings, drafts, reminders, settings and any stored audio. It is removed from the app right away, and from backups within the backup window. It cannot be undone.
- Both ask you to sign in again if your last sign-in was more than 10 minutes ago.
After you delete your account:
- We keep a deletion record: a one-way code made from your account id, and the time. It holds no email, name or content. It only lets us confirm that an account was deleted.
- Backups and our providers’ logs keep data for their own periods. We are confirming those windows.
- During private testing, your email address stays on the invite list until we remove it. Ask us and we will.
- A record of recent sign-in attempts, a one-way code of your email address, is removed within a day.
10. How long we keep data
We keep your data until you delete it or your account. Recordings and typed notes are the exception (section 5). TheirCorner does not delete older notes on a schedule.
Waitlist addresses are kept until the beta invites go out, then deleted. We never keep one longer than 12 months.
11. Cookies and storage on your device
- Sign-in cookies from Supabase, our sign-in provider (names start with “sb-”). They keep you signed in, and one short-lived cookie checks a sign-in link while you sign in.
- tc-pending-sign-in: lasts 15 minutes while you sign in. It holds your email address and the page to return to, so a sign-in link works only in the browser where you started.
- tc_sidebar: remembers whether the sidebar on a wide screen is open or narrow. Layout only. It lasts a year.
- tc_wide: remembers whether this browser has a wide screen, so the app opens the right home screen (the Team dashboard on wide screens). Layout only. It lasts a year.
- tc_theme: remembers the theme you chose in Settings (Light or Dark), so pages open in it. There is none when you choose System. Display only. It lasts a year.
- Browser storage for recordings that have not uploaded yet (section 5).
We use no advertising or tracking cookies.
12. Security
Connections to TheirCorner use HTTPS. In the app, the database lets each account read only its own records. You sign in with a link or code sent to your email. Export and deletion need a recent sign-in. [Encryption of stored data: to be confirmed with our providers.] No system is perfectly secure. [How we tell you about a security breach: to be added by counsel.]
13. Your part
You are responsible for using TheirCorner within your employer’s policies. You confirmed this when you signed up. Keep notes factual and about behavior you saw. Dictate your own notes. Do not record conversations with other people.
14. Where TheirCorner is offered
TheirCorner is offered only to managers in the United States. It is not for anyone under 18. These are conditions of our Terms, which you accept when you sign up. When you first sign up, we check which country your request comes from, once, to see that it is the United States. We do not store the country or your IP address. [enforcement to be confirmed with counsel]
15. Changes to this policy
If we change this policy, we will update the date at the top. If the change matters, the app will ask you to accept again before you continue.
